Custom Charts

 

Custom charts provide detailed reporting on advanced and standard forms. For example, you could choose to display service call statistics on the number of parts ordered or installed by type. Or, you could show total miles driven during a certain time period by a single user or user group. Any data entered into a form can be displayed as a chart.

 

Create and view custom charts on the Form Dashboard. You can choose the form information that displays on your chart, and set it to be displayed on the dashboard.

 

 Before you create custom charts, you must first create a dashboard to display them. Each new dashboard that you create adds a corresponding tab to the Form Dashboard.

 

 

New Dashboard

1.     Click Add New Dashboard, or click on the plus (+) tab. The Add Chart Dashboard dialog displays.

2.     Enter a name for the new dashboard. Check Default Dashboard to see this dashboard when you first display the Form Dashboard.

3.     Choose a layout.

4.     Click Save. Your new layout has been created, and you can now create your custom charts.

5.     When your new dashboard displays, click Options in one of the graph templates in the new layout, and choose Add Existing Chart or Add New Chart.  If you select Add Existing Chart, you must choose a chart from the listing that displays next.

 

Custom Chart

If you click Options from a graph template in your layout and select Add New Chart, you are now creating a custom chart. The Add Custom Chart dialog displays.

Step 1 -  Chart Settings

 

1.     Choose the Public checkbox to mark the chart as Public or Private. Public charts can be shared with other system users on your account.  If you do not check this box, the chart will be marked Private.

2.     Enter a title for the custom chart in the Title field.

3.     Choose the Default Time frame from the drop-down list. Choose from Day, Week, Month or Year. Week is the default selection.

4.     Select the Chart Type from Bar, Line or Pie.

5.     Choose a color theme for your chart. On the right side of the dialog, a sample of your chart will display.

 

Step 2 -  Select Data

6.     Use the drop-down list to choose the form that will supply the data to the chart.

7.     Click Next.

 

Step 3 -  Define Grouping

8.     In the Define Grouping section, choose how the chart will group the forms data. The following Group By field criteria are available:

·    User - Choose to select form data entered by a specific user

·    Group - Choose to select form data entered by a specific group

·    Time - Choose to display form data for specific time intervals

·    FormField - Choose to select data from a specific field on the form. Only certain field types are applicable, such as text boxes, radio buttons and drop-down lists.

 

For all Group By criteria except User and Group, you must further define the data. For example, if you want to view a calculation of items ordered during a 30-day period, choose Time in the Group By field, and Month in the field that follows. If you choose the FormField option, the Field drop-down list is then populated by the fields available in the form you chose earlier.

9.     If necessary, choose the corresponding data in the Field field.  

 

Step 4 -  Define Calculation

10.  In the Define Calculation section, determine the calculation operations used to create the custom chart. Note that only numeric and currency fields can be used in this section. The following Group By field criteria are available:

·    Count - Performs a simple count of the form data

·    Sum - Calculates sum of form data

·    Min - Calculates minimum value of form data

·    Max - Calculates maximum value of form data

·    Avg -  Calculates average value of form data

 

 Note that Sum, Min, Max and Avg display only if currency or numeric fields are available in the form.

 

For all Group By criteria except Count, you must further define the data. For example, if you wanted the total of items ordered by a specific user group, in this step you would choose Sum in the Group By field, and the applicable form field name in the field that follows. Calculation fields from the form you have chosen populate the Field drop-down list.

 

11.  Choose Next.

 

Step 5 -  Additional Options (for bar and line graphs only)

In the Additional Options section, set more data display options, depending on the chart type you have chosen. Choose a data type to sort by, a sort order, and the display orientation.

A sample of the chart you have created will display.

12.  Click Enable Scrolling, if necessary for your chart type.

13.  Click Finish.
